How to calculate overlap hours
The cleanest way to compare working days across time zones is to convert both to UTC, the shared reference time. Write down your working hours and the assistant's working hours in UTC, then count the hours that appear in both ranges. That count is your overlap.
- Convert your start and end time to UTC
- Convert the assistant's start and end time to UTC
- The overlap starts at the later of the two start times
- The overlap ends at the earlier of the two end times
- If the end comes before the start, there is no overlap
The search on Aides runs this math for you. You enter your time zone and working hours, and each result shows the overlap hours with your day.
Worked examples from a New York workday
Say you work 9:00 to 17:00 Eastern Time. In October, Eastern Time is UTC minus 4, so your day runs 13:00 to 21:00 UTC. Here is how three typical assistant schedules line up.
| Assistant time zone | Assistant local hours | Same hours in UTC | Overlap with your day |
|---|---|---|---|
| UTC minus 3 | 9:00 to 17:00 | 12:00 to 20:00 | 7 hours |
| UTC plus 1 | 12:00 to 20:00 | 11:00 to 19:00 | 6 hours |
| UTC plus 8, standard day | 9:00 to 17:00 | 1:00 to 9:00 | 0 hours |
| UTC plus 8, shifted day | 18:00 to 2:00 | 10:00 to 18:00 | 5 hours |
The last two rows show why the time zone label alone is misleading. The same assistant can give you no overlap or five hours of it, depending on the schedule they choose. Many experienced assistants work shifted hours on purpose to serve US clients, and they usually say so on their profile.
The same math from the West Coast
If you work 9:00 to 17:00 Pacific Time, which is UTC minus 7 in October, your day runs 16:00 to 24:00 UTC. The assistant at UTC plus 8 on the shifted 18:00 to 2:00 schedule now overlaps with you for only 2 hours, from 16:00 to 18:00 UTC. The assistant at UTC minus 3 overlaps for 4 hours. Always run the math from your own day, not from a general rule about a region.
Watch the clock changes
Most of the US moves its clocks back one hour on the first Sunday in November and forward again in March. Many countries do not change their clocks at all, and others change on different dates. That means overlap can shift by an hour twice a year without anyone changing a schedule. Put a reminder in both calendars a week before each change and agree whether the assistant moves their hours or keeps them.
How much overlap each role needs
Different roles need very different amounts of shared time. Decide the minimum before you search, so you do not rule out strong candidates for no reason.
| Role | Typical live overlap needed | Why |
|---|---|---|
| Virtual receptionist | Your full business hours | Calls and chats need a live answer |
| Customer service | Most of your support hours | Response time shapes customer trust |
| Executive assistant | 3 to 5 hours | Scheduling and quick decisions during your day |
| Administrative support | 2 to 4 hours | Questions and approvals, rest is async |
| Social media support | 1 to 3 hours | Publishing is scheduled, replies need some live time |
| Bookkeeping prep | 1 to 2 hours | Mostly async with a weekly review |
| Data entry and research | 0 to 1 hour | Fully async with written briefs |
A useful rule of thumb is that live overlap is for decisions and conversations, and everything else can happen while you sleep. A small overlap with a clean handoff often beats a long overlap with no structure.
The upside of little overlap
A gap between your day and your assistant's day is not only a cost. Work you hand over at 17:00 can be done by the time you start the next morning. For research, data entry, document prep and inbox cleanup, a follow-the-sun setup gives you a full working day of progress overnight.
Designing clean async handoffs
When you do not share many hours, the handoff decides whether work flows or stalls. Build a short routine and keep it the same every day.
- End of your day, a short written list of priorities for the next shift
- Each task with the goal, the deadline and where the files are
- A clear rule for what your assistant may decide alone
- A clear rule for what waits for you, and how to flag it
- End of the assistant's day, a summary of what is done, what is blocked and what needs a decision
- One shared place for all of this, so nothing lives in private messages
Use the overlap well
Protect the shared hours for the things that need both of you. A 15 minute daily check in at the start of the overlap clears decisions in one go. Batch your questions and approvals into that window instead of scattering them across the day. Use short screen recordings for anything that takes longer to explain in writing, so your assistant can watch them on their own schedule.
- Daily check in at the start of the overlap, 10 to 15 minutes
- A weekly review of the task list and priorities, 30 minutes
- Urgent issues by a single agreed channel, with a clear definition of urgent
Talk about hours before you hire
Raise the schedule in the first conversation, not after the trial task. Ask which hours your assistant works today, whether those hours are fixed or flexible and how they handle holidays in their own country. Agree on a written schedule with the overlap window named in both time zones, so nobody has to convert in their head. If the role needs more overlap later, discuss it openly, because a shifted day is a real cost for the person working it and is often reflected in the rate.
- Current working hours and how fixed they are
- Public holidays in the assistant's country
- How they handle a request that arrives outside their hours
- Whether a larger overlap later is possible, and at what rate
Find an assistant who works your hours
On Aides you search by skill and time zone, and every result shows the overlap with your workday. Every assistant passes an ID and liveness check before their profile goes live, as described on the verified virtual assistant page. Read our virtual assistant onboarding checklist to set up handoffs from day one, see what roles like a virtual receptionist or an executive virtual assistant involve, and compare plans on the virtual assistant cost page.
