Security at Aides protects your data and your team's access
Hiring a virtual assistant means sharing parts of your business with someone outside it. Aides is built so you share only what you choose, with people whose identity has been checked, and so your team can see and control who does what in your account. This page explains how we handle buyer data, how seats, roles and permissions work, what Enterprise adds and how payments to assistants are kept separate from us.
- Every assistant passes an ID and liveness check. No AI personas.
- You pay your assistant directly. No markup.
How we handle your data
We collect only what we need to run your account: your work email, your company name if you add one, your plan and billing status, your searches, shortlists, role posts and the messages you exchange with assistants.
Details are set out in our privacy policy. Questions go to support@aides.io.
- Data is encrypted in transit and at rest
- Card details are handled by our payment processor, Aides never stores full card numbers
- Messages are visible only to the people in the conversation and to your account's authorized seats
- We do not sell your data and do not share your searches with assistants you have not contacted
- You can export or delete your account data from your account settings
Every assistant is a verified person
The first layer of security is knowing who you are dealing with. Every assistant passes a government ID check and a liveness check before their profile goes live. Read the full process on the verified virtual assistant page.
Seats, roles and permissions
Each plan includes a set number of seats, so your team can work in one account instead of sharing a login. Starter has 1 seat, Growth 2, Business 5 and Enterprise 25.
On Business and Enterprise you can assign roles to each seat and control what that person can do.
Remove a seat at any time and that person loses access to the account immediately.
- Owner, manages billing, seats and every setting
- Admin, manages role posts, hires and agreements
- Hiring manager, searches, messages and runs trial tasks
- Viewer, sees shortlists and hires without changing them
Enterprise controls for larger teams
The Enterprise plan adds the controls security and IT teams usually ask for.
See every plan limit on the virtual assistant cost page.
- Single sign-on with SAML, so your team signs in with your company identity
- Audit log of sign-ins, role changes, hires, agreement changes and exports
- 25 seats with roles and permissions
- Identity verification report per hire as a PDF
- Priority support within 1 business day
Work agreement templates
On Growth, Business and Enterprise you get work agreement templates you can adapt for each hire. They cover the scope of work, hours, rate and payment schedule, confidentiality, ownership of work product, return of materials and notice to end the arrangement. A timesheet log in the same account keeps a shared record of hours. Templates are a starting point for your own agreement, not legal advice.
Payments to assistants stay between you and your assistant
You pay your assistant directly, by the method and on the schedule you both agree. Aides does not hold, route or take a percentage of those payments, so your assistant's pay never sits in a third account. The only payment Aides processes is your subscription, through our payment processor. On Business and Enterprise, your subscription comes on one consolidated monthly invoice.
Good practice when you give an assistant access
- 01 Create a separate login for your assistant in every tool, never share your own
- 02 Use a password manager to share credentials and revoke them in one step
- 03 Give the least access a task needs and add more later
- 04 Turn on two-factor authentication on every shared tool
- 05 Review access every month and after a hire ends
- 06 Keep agreements and timesheets inside your Aides account
