ClearCare pricing and what a small agency pays instead

ClearCare does not publish its prices, and its listings now point to WellSky Personal Care. Third party directories give conflicting estimates: one reports a starting price of about 500 USD per month, with an estimated range of 500 to 1,500 USD per month plus onboarding of 3,000 to 10,000 USD. Treat these as rough figures and confirm in a written quote. Aides publishes its prices instead: 149, 249 or 449 USD per month, unlimited caregivers, no setup fee.

What ClearCare costs according to public sources

ClearCare is established software for non medical home care agencies. Its pricing is quote based, so everything below comes from third parties and not from the vendor.

  • ITQlick lists a starting price of 500 USD per company per month and estimates 500 to 1,500 USD per month, with onboarding fees of 3,000 to 10,000 USD.
  • A different ITQlick comparison page shows a per user model, from 100 USD per month for one user to 800 USD for ten users. The two pages do not agree, which tells you how loose these estimates are.
  • SpotSaaS lists custom pricing and no free trial, and notes the product has migrated to WellSky Personal Care.

None of these is a ClearCare price list. If you request a quote, ask for the monthly price at your current client count and at double that count, whether pricing is per client, per user or per company, every module priced separately, the onboarding or data migration fee, the contract length and what it takes to cancel.

Why home care quotes vary so much

Three things move the number. Client count tracks your revenue, so most vendors scale with it. Modules such as scheduling, billing, payroll export, EVV and reporting may be bundled or sold apart. Services such as setup, training and migration can be a large one time charge. A low entry price with all three added later is not the real price, so compare the total for your first year.

What Aides costs

Aides is priced by the number of clients you schedule in a billing month, not by caregivers.

Plan Monthly Yearly (per month) Clients Office users
Starter 149 USD 74.50 USD 25 3
Agency 249 USD 124.50 USD 75 8
Growth 449 USD 224.50 USD 200 25

Every plan includes scheduling with recurring visits, the caregiver web app with GPS clock in and out, care plans and visit notes, hours reports and client invoices. Agency and Growth add payroll CSV export and overtime alerts. Growth adds EVV CSV export, roles and permissions and an audit log. See the full home care software pricing.

Where ClearCare or WellSky is the better choice

An established vendor suits agencies that need Medicaid or insurance billing, EVV aggregator submission, native mobile apps or many integrations. Aides does not offer those. It is built for private pay, non medical and private duty agencies that want one schedule, caregiver clock in and invoices at a price they can read on a web page.

Where a published price makes sense

If your agency has 5 to 200 clients, is paid privately by families and runs on spreadsheets and texts, a flat band price is easier to budget than a quote with onboarding. Read how it works for home care software for small agencies, or try the scheduling demo and see a week built for you.

How to compare two quotes fairly

Put both options on one page with the same assumptions: your client count today and in 12 months, the number of office users, and whether you need payroll export and EVV data. Add every first year fee, including onboarding. Then check the exit: can you export clients, visits and invoices if you leave? While you are changing systems, tidy your signed client service agreements too, and a tool for drafting and tracking service contracts helps with that.

FAQ

How much does ClearCare cost per month?

ClearCare does not publish prices. Third party directories estimate about 500 to 1,500 USD per month, with onboarding of 3,000 to 10,000 USD, but figures conflict between sources. Get a written quote at your client count.

Does ClearCare have a free trial?

Directory listings say no free trial is offered. Aides lets you try a scheduling demo with example clients and caregivers on the homepage before you create an account.

Is ClearCare now WellSky?

Directory listings say the product has migrated to WellSky Personal Care. Confirm the current product name and contract terms with the vendor.

Is there a cheaper alternative to ClearCare for a small agency?

For private pay agencies, a published price option such as Aides starts at 149 USD per month for up to 25 clients with unlimited caregivers. It does not cover Medicaid billing or state EVV submission, so check your needs first.

Does Aides charge a setup fee?

No. You pay the monthly or yearly plan price, and yearly billing is half the monthly price.
