Home care billing software for private pay visits
Turn completed home care visit hours into private pay client invoices, using the bill rate agreed for each client.
Bill from delivered visits
A schedule describes the work an agency plans to deliver. An invoice should describe the work being charged to the client. Those are related records, but they are not interchangeable. If a caregiver arrives late, a client cancels or a visit ends early, the office needs to understand the completed record before deciding which hours belong on an invoice.
Aides supports private pay invoices from completed visits. The workflow connects the visit hours with a client bill rate, so your office can prepare an invoice from care records rather than recreating the week in a separate document. It does not handle insurance claims or Medicaid billing. Agencies that need those workflows should assess those requirements separately.
Record the client bill rate deliberately
Keep the agreed bill rate understandable to the people who prepare invoices. The rate charged to a client is distinct from the hourly pay rate for a caregiver. An agency might have different bill rates across clients because service agreements differ. The invoice should use the client agreement rather than automatically borrowing a caregiver pay rate or a planning estimate.
When discussing a rate change, decide which service period it affects. Review the agreement and any notice obligations before changing how future visits are billed. A clear office process records why a new rate applies and checks that already reviewed visits are handled consistently. Software provides a calculation; your agency remains responsible for charging the amount authorized by the client arrangement.
Review the visit record before invoicing
Check each completed visit for the correct client, service date and recorded start and end times. Look for missing clock outs and unusually short or long visits. Read relevant notes when the completed duration differs from the schedule. A rushed invoice review can transfer a recording error directly to a family who then has to ask your office to explain it.
Use electronic visit verification software records as context during that review. GPS at clock events helps document where those events were recorded. It does not establish every detail of the care delivered or decide a billing dispute by itself. A location issue, a time issue and an uncompleted task may need different follow up from your office.
The caregiver home care app gives staff a place to capture the source visit information. Teach caregivers to record actual work and describe relevant exceptions. If the agency encourages everyone to simply match the scheduled time, the office loses the difference between the planned visit and the delivered visit that invoice review is meant to examine.
Make the invoice easy to understand
Choose a service period your clients recognize and apply it consistently. Before issuing the invoice, review the completed visits in that period and the total hours. A client should be able to understand the relationship between the care they received and the amount charged. Use plain service descriptions and avoid unexplained internal codes in communications with families.
The basic hourly calculation is completed hours multiplied by the client bill rate. As an illustration, ten completed hours at a bill rate of 34 USD per hour produce 340 USD of visit charges. This is a math example, not a recommended rate or an Aides customer result. Your actual rate should reflect the agreement and the costs of operating your agency.
Do not assume an additional fee is supported just because it appears in a spreadsheet your agency used before. The stated Aides workflow is visit based private pay invoicing. Mileage billing, claims submission and payer authorization management are outside this feature description. Review any additional charge or payment workflow on its own requirements rather than treating it as part of the hourly visit calculation.
Separate invoice revenue from caregiver pay
The client invoice describes what the client owes for care. The caregiver pay calculation describes compensation for work. Some payable work may not be billable to a client, such as compensable travel between client visits. Similarly, a bill rate includes more than caregiver wages. The difference between bill rate and pay rate is not automatically the agency's profit.
Use home care payroll software guidance to review pay rates, completed hours and weekly overtime. Agency and Growth add payroll CSV export for your provider. Keep the export review separate from invoice approval, because client pricing terms do not determine wage obligations. Your payroll provider and agency policies need to account for all compensable work.
Estimate the week without treating it as an invoice
The homepage scheduling demo calculates estimated weekly billing from the scheduled example hours and an editable bill rate. It also calculates estimated caregiver pay and a gross margin. Use it to explore how coverage changes the economics of a planned week. Reducing an uncovered requirement is different from billing a completed visit, so the demo clearly labels its figures as estimates.
For the real office workflow, review completed records before preparing the invoice. Set a consistent cutoff for checking incomplete visits and a person responsible for resolving questions. Then compare the subscription limits and included features on the pricing page. Client invoices are included on every Aides plan, with client and office user limits defined separately from caregiver access.
